Creating and Managing Assessments
An assessment is any graded activity: a class test, a mid-term exam, an end-of-term exam, a practical assessment, or coursework. Assessments are tied to a specific class, period, and assessment type.
Creating an Assessment
- Go to Admin Portal > Assessments
- Click New Assessment
- Enter:
- Title -- a clear name (e.g. "Mid-Term Mathematics Exam")
- Class -- which class this assessment is for
- Period -- which academic period (term/semester) it belongs to
- Assessment Type -- the category (e.g. Class Test, Exam) -- this determines its weight in the final grade
- Total Marks -- the maximum score (e.g. 100)
- Subject (optional) -- leave blank for whole-class assessments; specify for subject-specific ones
- Save -- the assessment is created in Draft status
The Assessment Lifecycle
Every assessment moves through three stages. This structure ensures that scores are only collected when appropriate and that results are locked once complete.
Draft
The assessment has been created but is not yet visible to teachers for scoring. Use this stage to review the setup before deploying.
Open
The assessment is published to the relevant teachers. They can now see it in their staff portal and begin entering scores.
To open an assessment:
- Find the assessment in the Assessments list
- Click Open Assessment
- Confirm -- the assessment is now live for teachers
Closed
Scoring is complete. No further changes can be made to scores. The assessment is locked.
To close an assessment:
- Open the assessment
- Click Close Assessment
- Confirm -- scores are locked
Only scores from assessments that are correctly closed and linked to the right period will appear in report cards.
